QuickBooks™ bank CSV, 4 columns: Credit and Debit
The 4-column bank layout (Date, Description, Credit, Debit) suits banks that report money in and money out separately. It fails in its own ways, mostly around the Credit and Debit columns.
The headings must be plain Credit and Debit
Intuit's help says not to put the word “amount” in the Credit and Debit headings. “Credit Amount” or “Debit Amount” is the common slip. The add-on offers to rename those two headings, with a preview. Whether QuickBooks cares about upper or lower case in a heading is not stated, so a heading that differs only in case is flagged and left alone.
Zeros are blank, in both columns
As with the 3-column layout, a zero in the Credit or Debit column should be left blank. A row normally has a value in one column and nothing in the other. Typing 0.00 in the empty one is what bank exports and hand-built sheets tend to do.
Which column holds a payment
Intuit's help does not make the rule plain, and its single worked example reverses the usual reading. Check a few lines against your bank statement before you upload the rest. The add-on warns when only one of the two columns has any values, or when Amount is used alongside them, and does not move amounts between columns.
Dates, weekdays and size
- Use one date format in the file. Intuit recommends dd/mm/yyyy for a UK company, and a date such as
06/03/2026reads two ways in a US-locale sheet. - A weekday in the date text is moved into its own Weekday column.
- 1,000 lines and 350 KB per upload (500 lines on the Sole Trader plan), per Intuit's help.
- Stray spaces and line breaks inside cells are checked too. The space fix is free.
A file with both layouts in it
If your sheet has Credit and Debit and an Amount column, QuickBooks cannot tell which to use. The add-on flags it and asks you to pick one layout. If you want a single signed Amount column for your own work in Sheets, the export-side Debit and Credit combiner writes it into a new column and leaves the originals alone.
Check the file before you trust it
