Payout total does not match its lines: why, and how to find the gap
A payout lands in the bank as one amount, and the export behind it is supposed to add up to it. When it does not, the cause is usually one of four things, and each can be named from the sheet.
Where the gap usually comes from
- Fees, refunds or an adjustment that are in the platform's report but not in the lines you added up.
- A payout that straddles the date range you exported, so some lines belong to the next payout.
- A net column that is not gross minus fee on some lines.
- A balance report whose ending balance is not the starting balance plus activity minus payouts.
What the add-on checks
Payouts export (Shopify™). It adds Charges, Refunds, Adjustments, Reserved funds and Retried payouts, takes off Fees, and compares the result with the Total on each payout row, to within half a penny. A row that differs is listed (PO-01).
Line by line. Where a file has gross, fee and net columns, it checks that net is gross minus fee on every line (PO-02).
Stripe™ balance summary. It checks that the ending balance is the starting balance plus activity minus total payouts, per currency (PO-11).
Payout boundaries. If some lines carry a payout id and some carry none, it says the export spans a payout boundary (PO-12). That is normal for an ending-balance report, and the message says so.
What it does not do
These are explain-only findings. They name the difference and where to look, and write nothing to your cells. A total formula for the Shopify payouts export was inferred from a published sample, not from a real export, so the add-on warns on it rather than rewriting anything. Sums never cross currencies: a file with more than one is flagged and each currency is checked on its own.
Import tip
Bring a CSV in with File › Import › Upload and untick “Convert text to numbers, dates and formulas”, so amounts arrive as text the scan can read rather than being reinterpreted by the sheet's locale.
