QuickBooks™ report exports in Google Sheets: titles, totals and text numbers
A report exported from QuickBooks is made for reading, not for a spreadsheet. Pasted into Sheets it brings title lines, Total rows, group headings and numbers that will not add up.
Title lines, totals and footers
A report usually opens with its title, company and date range above the column headings, and ends with a basis or date-stamp line. Total and Subtotal rows sit in the data. Left in, they break a sort, a filter or a pivot table, and double-count in a sum. The add-on lists them. Blank rows at the foot of the data are removed on request, and a Total row below the data can be taken out with a preview.
Account names on a heading row
Some reports name the account once on a group heading and then list its lines underneath. Sorted or filtered, those lines lose their account. The add-on flags the layout today; a fill-down fix is planned for when it has been checked against a real General Ledger export.
Dates and amounts as text
- Dates that arrive as text are read day-first, with an ambiguity list for any that read two ways.
- Amounts with a currency symbol, a thousands separator or brackets for a negative are read as text by Sheets. Converting them is a fix with a preview. Text columns such as Num, Name and Memo are left alone.
- Spaces, including non-breaking ones, are removed. That fix is free.
Spacer columns and Debit/Credit
Blank columns between real ones are flagged. If a report has separate Debit and Credit columns, the add-on can write one signed amount into a new column (debits positive, credits negative), which is our convention for working in Sheets and not an Intuit rule. The originals stay as they were.
A caveat
Report layouts vary and the add-on has been built from Intuit's descriptions and synthetic sheets, not yet from a wide range of real exports. Where a layout is not confirmed it explains the problem and leaves your cells alone.
Check the file before you trust it
Import Cleaner for QuickBooks™ scans a QuickBooks export, or a sheet you are about to upload, and explains every finding. The full scan, every explanation and Undo are free, and your data stays in your Google™ account. It edits the spreadsheet only and never connects to QuickBooks.
