Selling on Etsy™, eBay™ and Vinted™: one spreadsheet for all three

Sell on more than one platform and your figures live in different formats: Etsy™ monthly statements, eBay™ transaction reports in several date ranges, and a Vinted™ history you copied out yourself. A tax return wants one set of numbers. Here is how to build it by hand.

Normalise the columns

Make one ledger tab with the same columns for every sale, whatever the source:

Date of the sale (not the payout date).
Platform it sold on.
Order or sale reference and item title.
Gross (what the buyer paid), fees, refunds, and net (what you kept).
Currency, and a GBP column. For non-GBP sales, convert at a stated rate and note the rate and date beside it.

The traps

Payouts are not sales. Money arriving in your bank is your own money moving. Keep payouts on their own tab, for matching against the bank statement.
Overlaps double-count. eBay date ranges overlap and Etsy months get re-downloaded. Match on reference plus type plus date, and keep one copy.
Tax year, not calendar year. Bucket sales from 6 April to 5 April. A March sale paid out in April is still a March sale.
Shop costs live apart. Listing fees, subscriptions and postage labels are costs, not negative sales. Give them their own tab so the ledger stays clean.
