Payout Export Cleaner
Shopify™ and Stripe™ payout exports, checked and split in Google Sheets™ before they reach Xero™ or QuickBooks™. Free to check. It knows a payout export when it sees one: a total that is not the sum of its lines, fees and refunds that are missing, and gross, fee and net that need to be separate lines for the books.
Install: Install from Google Workspace™ Marketplace. It is an editor add-on for Google Sheets™ on desktop browsers — it does not run in the Google Sheets™ mobile apps. This page is the support and documentation page the listing points to.
Before
Does not match
A payout of £1,000.00 in the bank, a sheet of lines that adds up to £1,031.20, and no row for the fees or the refund in between.
After
Explained
The difference named, the missing fees flagged, and Stripe lines split into gross, fee and net columns. A preview first, and Undo is always there.
The one to know about
A payout lands in the bank as one amount, but the sale behind it is gross, minus fees, minus refunds. Bookkeeping that records only the deposit hides the fees and never matches the platform's own report. Finding where a payout total stops equalling its lines, and splitting the lines so the fees and refunds have rows of their own, is the reason this add-on exists.
What it covers
Exports from Shopify™ and Stripe™ payouts, by spreadsheet only: the add-on never connects to Shopify, Stripe, Xero or QuickBooks.
- Stripe payout reconciliation: the itemized payout reconciliation and balance reports, and the summary reports.
- Shopify payouts: the payouts export and the payout transactions export.
- Bank-line files: a sheet built to import into Xero™ or QuickBooks™ as a bank statement, checked for zeros, weekdays in dates and headings.
- Payout journals: a manual journal for Xero™, checked for balance and blank account codes.
- PayPal™ payouts are planned for a later version. Multiple currencies are flagged, never converted.
Honest status: the Stripe checks follow Stripe's published report documentation. The Shopify checks are built from a published sample and have not yet been confirmed against a real export, so on Shopify files the add-on explains and warns but does not rewrite your cells.
Three steps
- Install. Get it on Google Workspace™ Marketplace, or Extensions › Add-ons › Get add-ons and search for the name.
- Scan. Open a spreadsheet, then Extensions › Payout Export Cleaner › Open. Pick Clean a payout export or Check before uploading.
- Fix. Every finding explains what is wrong and why it matters when the payout reaches the books. The safe ones have a one-click or guided fix, with a preview of the exact cell changes before anything is applied.
What it checks
Every finding carries a rule code, so a report you read again in six months still says which check produced which line.
Checking a payout export
PO-01 | Payout total is not charges, refunds, adjustments and fees added up |
PO-02 | Net is not gross minus fee, line by line |
PO-03 | Fees missing, or netted off so they never appear |
PO-04 | Refunds and disputes with the wrong sign |
PO-05 | More than one currency, or a customer currency that differs from settlement. Never converted |
PO-06 | No payout id, or a payout that is not marked paid |
PO-07 | The same transaction twice |
PO-08 | Dates stored as text, or mixed time zones |
PO-09 | Amounts stored as text, bracketed negatives, currency symbols |
PO-10 | Transaction types the add-on does not recognise |
PO-11 | Stripe balance summary: ending balance is not starting balance plus activity minus payouts |
PO-12 | Lines that belong to no payout, beside lines that do |
PO-17 | Stray spaces, including non-breaking ones |
PO-18 | Splits gross, fee and net into four new columns, by sign, leaving the originals alone |
Checking before an import
PO-13 | A payout journal that does not balance |
PO-15 | Bank-line files: zeros, weekdays in dates, headings, symbols and dates the importer will not read |
PO-16 | A blank account code on a sales, fee, refund or clearing line |
See the guide for what the rules mean. The rules are built from the platforms' published help pages; where a behaviour could not be confirmed, the rule explains the problem and leaves your cells alone. Your data
Your spreadsheet content never leaves Google. The rules run in the sidebar, in your browser. The only network traffic this add-on makes is to the licence server, and only a licence key, an anonymous install id and which host this is ever cross it. The add-on asks for this spreadsheet only — not your Drive, not your other files. Privacy notice.
FAQ
Does my data leave Google? No. Scanning and fixing both happen in the sidebar, against the Sheets API, without your content going anywhere else.
Does it connect to Shopify™, Stripe™, Xero™ or QuickBooks™? No. It edits the spreadsheet only. You download the export and upload the cleaned file yourself.
How should I import a CSV into Sheets? File › Import › Upload, with “Convert text to numbers, dates and formulas” unticked, so dates and amounts arrive as text the scan can read.
Does it convert currencies? No. A file with more than one currency is flagged, and each currency is checked on its own.
What if I want to undo a fix? Every fix saves a hidden copy of the sheet first. Press Undo in the sidebar to restore it, in any tier, at any time.
Is this affiliated with any of these companies? No. It is an independent add-on by AppGarden. Not affiliated with, endorsed by or sponsored by Shopify™, Stripe™, Xero™, Intuit Inc. or QuickBooks™. All are trademarks of their respective owners.
Also for Excel™: Payout Export Cleaner for Excel. The same licence key works in Google Sheets and Excel.
