Preparing one spreadsheet for both Copilot™ and Gemini™
Teams rarely standardise on one AI assistant. The same spreadsheet may be questioned by Copilot™ in Excel™ one day and Gemini™ in Google Sheets™ the next. The good news: every AI reader wants the same thing, so one checklist prepares a sheet for all of them.
The shared checklist
- One header row. A single row of short, unique headers at the top of the data. No merged cells, no two-level headers.
- No banner rows. Move titles into the tab name or a separate cover tab.
- No blank rows or columns inside the data. Gaps split the data block for every reader.
- One type per column. Dates with dates, numbers with numbers. A "TBC" in a date column breaks the column for all of them.
- Dates as real dates, numbers as real numbers. What you see should be what the cell holds: no apostrophe-text, no trailing spaces.
- Totals outside the data. Put totals below a blank row, or on a summary tab, so they are never counted as data.
- Freeze the header row. It keeps human readers oriented too.
A sheet that passes this list is also easier to filter, pivot and hand over, so the work pays off with or without AI.
