QuickBooks™ customers and suppliers import: names, headings and limits

By Paul Kemp · Published

Customers and suppliers share one import page and one set of rules in QuickBooks Online (UK). A contacts file that looks fine in a spreadsheet can still be refused for reasons that are easy to miss.

Headings in row 1, data on Sheet1

Intuit's help says the column headings go in the first row and the data sits on a tab named Sheet1. A title row above the headings, or a renamed tab, breaks the import. The add-on checks both.

Names without a colon or a double quote

A colon or a double quote in a name is not allowed. A name such as Smith: Ltd or one with a quoted nickname is the usual cause. The add-on lists each one so you can decide what the name should be.

Full Name and Company Name

Intuit's help describes Full Name as the first column and Company Name as the second. Full Name has to be filled in. Beyond those two columns the add-on does not yet know the full list of columns or their length limits, so it does not check them. That will change when Intuit's own example file is available to check against.

Duplicates, emails and blanks

Limits

Intuit's help gives 2 MB or 1,000 rows for a contacts file. The add-on estimates both from the cell text and warns when a sheet is over.

Check the file before you trust it

Import Cleaner for QuickBooks™ scans a QuickBooks export, or a sheet you are about to upload, and explains every finding. The full scan, every explanation and Undo are free, and your data stays in your Google™ account. It edits the spreadsheet only and never connects to QuickBooks.
