The eBay transaction report: a year of sales in one sheet
eBay™'s transaction report has every sale, fee, refund and payout, but a year usually takes several downloads and the fees are spread over many columns. This page shows where to get it, what the columns mean, and how to join the files into one ledger by UK tax year.
Where to download it
- In eBay, open Seller Hub → Payments → Reports.
- Create a transaction report for a date range and download it as CSV.
- eBay limits how long a range each download can cover, so a full tax year (6 April to 5 April) can take several files. Overlap the ranges if that is easier: a row that appears in two files is counted once.
The Orders report is read too, but it has no fee detail. Use the transaction report for your figures, and do not add an orders report covering the same sales, or a sale is counted from two places.
Menus move. If this path no longer matches what you see, email support@appgarden.co.uk and this page will be updated.
What the columns mean
The file starts with a few lines about the report (your account, when it was made) above the table itself. Then:
Date | When the transaction happened. |
Type | Order, refund, fee, payout, postage label and so on. |
Order number | Ties every row about one order together. |
Item title, Quantity | What sold, and how many. |
Item subtotal | The price of the items. |
Postage and packaging | What the buyer paid for postage. |
Final value fee (fixed and variable) | eBay's selling fee on the order. |
International fee, Promoted listings fee, Regulatory operating fee | Further fees on the order, when they apply. |
Refund amount | Money returned to the buyer. |
eBay collected tax | Tax eBay collected from the buyer and paid over itself. Not your income. |
Net | What the row adds to or takes from your eBay balance. |
The mistakes this invites
- Counting payouts to your bank as income, so sales are counted twice.
- Counting a sale twice because two downloads overlap.
- Counting the tax eBay collected as your own takings.
- Losing the report lines at the top into the data, so every column is off by a row.
- Missing a gap between two date ranges.
What Seller Export Cleaner does with it
Drop in every file for the year. It finds the real header under the report lines, counts overlapping rows once, adds up the fee columns for each order, keeps eBay-collected tax in its own column and out of gross, keeps postage charged apart from labels bought, moves payouts to their own tab, links refunds to their orders, names any month with no rows, and gives every sale its UK tax year. The ledger plus shop costs always equals the reports' own net, to the penny, or nothing is written. See every rule.
